A photo can look right on a phone and still print at the wrong size. The reliable workflow is to check the destination's photo rules, crop to the requested proportions, arrange the copies on a sheet, and verify print scaling before you submit or print.

First, confirm the photo requirements

There is no single passport-photo standard that applies to every country, visa, exam, or identity card. Dimensions, background colour, head position, expression, lighting, and how recently the photo was taken can all differ. Read the current instructions from the authority that will receive the photo before editing.

Use a well-lit original with the subject facing the camera and a plain background where possible. A sharp source image gives the crop tool more detail to work with; enlarging a small, blurry image cannot restore detail that was never captured.

Crop to the requested dimensions

Open the passport-photo or crop-and-resize tool and choose the preset that matches the specification you have confirmed. FORMSHALA's common 35 × 45 mm preset uses a portrait ratio suitable for that physical size. Position the face as required by the issuing authority, then inspect the crop at full preview size.

Do not rely on the preset alone as proof of compliance. A technically correct width and height cannot correct unsuitable lighting, shadows, a patterned background, an obstructed face, or a pose that the authority does not accept.

  • Keep the full head and required space around it inside the crop.
  • Avoid stretching the image; use a crop that preserves natural proportions.
  • Check the preview for blur, glare, shadows, and colour shifts.

Arrange copies on a print sheet

If you need several copies, open the photo-sheet tool, add the prepared photo, and choose the paper preset requested by your printer or photo shop. Set the number of copies, spacing, and margins, then review the sheet preview. The tool can export a print-ready PDF and image pages for supported layouts.

The sheet is a convenience for printing; it does not certify the photo against a government or visa standard. Keep the original as well as the edited copy so you can make a different crop if the receiving authority asks for one.

Print at the intended scale

In the print dialog, choose the same paper size used to create the sheet. If exact physical dimensions matter, select the printer option that prints at 100% or actual size, and turn off settings such as 'Fit to page' that may resize the sheet. Printer margins and driver settings can still affect placement.

Measure one printed copy with a ruler before producing a full batch. If it is not the requested size, review the paper selection and scaling options rather than repeatedly changing the crop.

Review before you submit

Open the exported file and check that the image is upright, the intended crop is present, and the PDF page has the expected paper dimensions. Then compare the result with the current official photo instructions. If an online application has its own upload checker, use it; the authority's latest guidance takes precedence over any general tool preset.

For identity documents, avoid uploading the photo to services you do not trust. The FORMSHALA photo and sheet transformations are designed to run in the browser, and you can read more about the distinction between local tools and network-connected features in our privacy guide.
